Position Summary:

This position reports directly to the Board of Directors and serves as the principal professional resource to the Havre Public Schools Education Foundation. HPSEF is a not-for-profit philanthropic organization comprised of community leaders in partnership with our local school system whose mission remains the advancement of student achievement in the Havre Public School system. The Executive Director is identifiable as a visible, positive representative of HPSEF, is responsible for year-round financial reporting and compliance as well as organizational development, builds relationships with and offers support to Foundation donors, ensures that HPSEF policies and procedures are followed and that stated goals and outcomes are achieved. They work collaboratively with the Board of Directors through a well-defined strategy built upon both action and initiative.

The Executive Director is responsible for the efficient and effective performance of all HPS Foundation business operations under the guidance of the Board of Directors. 

Key Responsibilities:

Responsible for gathering and maintaining all documents that are necessary to ensure the Foundation’s compliance with state and federal financial reporting requirements. For monetary donations, grants, and related charitable and philanthropic support, the Executive Director shall maintain an electronic accounting and filing system for donations, gifts, receipts, invoices, reports and scholarship information. They may also be tasked with preparing reports on these expenditures and providing them to the individual donor, funding agency, or Board of Directors upon request. The Executive Director works under the direction of the Board with respect to the planning, development, administration, supervision, and implementation of a comprehensive fund-raising program. The preparation of all monthly progress reports and associated financial data will be the responsibility of the Executive Director along with reporting to the Board of Directors of the Havre Public Schools Education Foundation. Additional duties may include:

Operational:

  • Assist the Executive Team with the drafting and development of monthly Board Meeting Agendas
  • In collaboration with the Board Treasurer and where applicable, the Finance Committee, maintain all financial records for the organization including the following:
  • Accounting of all Charitable Donations or monetary gifts received.
  • Income and expenditures (monthly and annual)
  • Retention of an accurate, monthly record (electronic and paper) of all financial transactions approved by the Board of Directors
  • Attend All Board of Director and committee meetings.

 

Fundraising

  • • In cooperation with the Board, coordinate all fundraising activities of the organization.
  • • In cooperation with the Board, develop and implement strategies and initiatives for ongoing fundraising and special event-based campaigns to ensure year-round financial growth
  • • In cooperation with the Board, coordinate efforts to identify and build relationships with prospective donors.

 

 

  • In cooperation with the Board, cultivate and maintain relationships with foundations, corporation and individuals and others in collaboration with volunteer leadership to aid in resource development.
  • Where appropriate, under the direction of the Board assist with the preparation of grant proposals

 

Communication/Marketing

  • In cooperation with the Board, enhance public understanding and support of HPSEF initiatives through a coordinated year- round public relations and communications program
  • In cooperation with the Board, coordinate the preparation of all communication tools
  • In cooperation with the Board, cultivate and develop cooperative relationships in the community and with the Board of Trustees and Administration of Havre Public Schools District
  • Under the direction of the Board, maintain the organization’s website and social media presence
  • Foster a positive working relationship with local Media outlets.

 

Financial Management

  • In cooperation with the Board, monitor the financial resources of HPSEF including annual operating budget.
  • In cooperation with the Board, manage donor accounts.

 

Administrative Duties

  • • In cooperation with the Board, assist with the development of long-range goals, annual work plans, budgets, and strategic plans.
  • • In cooperation with the Board, maintain and monitor the organization’s records and the integrity of confidential business information.
  • • In cooperation with the Board Chair, assist with the distribution of all meeting notices.
  • • Ensure that Day-to-day bookkeeping and database management are performed according to established practices.

Salary/Benefits

$35K -$65K Annual, Based Upon Experience. Benefits - Negotiable

A night of talent, glitz, and music hosted by Friends of Music. Celebrate the evening of listen to HHS talented stars.
Appetizers, mock-tails, and desserts presented through the Great Gatsby era. Live and silent auctions throughout the evening.

Havre Public Schools Education Foundation Board of Directors was pleased to present a $500 check to Chad Edgar, Superintendent of Beaver Creek Park.  The money was a portion of the funds raised last fall from the Blue Pony Bingo fundraiser.  After consulting with Chad several times about the best use of these funds, the Foundation voted to donate it to the Park with the intention of it being used for a project to prevent future fires. 

Blue Pony Bingo was first sponsored by HPSEF in 2016 to help raise money for the HHS Marching Band traveling to Washington D.C.  The 2017 Bingo was held to raise money for scholarship and small grant requests, with Jody Toner winning $1000. Due to the devastation of the fires at that time, the Board felt it was appropriate to donate a portion of their profit to the Park. 

No plans have been made for a third Blue Pony Bingo fundraiser, but the Board is open to requests.  We appreciate the overwhelming support of our community in furthering the causes of HPSEF.

New Years Eve Celebration

The Havre Public Schools Education Foundation held their first annual New Years Eve Celebration on Dec 31st, 2021. The event was enjoyed by everyone who attended. We want to thank special guest chef Abe Risho for preparing a wonderful meal and the John Gemberling Sextet for a full night of music. Check out the photos below.   • Honor/Memorial Gifts

    Donations made in memory or in honor of someone you love is a great way to pay tribute to that person and support the students of the Havre Public Schools. All classes, individuals, families, or groups are welcome to use this form to remember those who are "gone but not forgotten."  If the information is provided, we will send an acknowledgement to the family to notify them of your generous gift.  We never share gift amounts, only your name.

    When making a donation by mail, please send your check to HPSEF and include the donation form linked below. Donors can be an individual or group such as a graduated class, club, organization, or family.

    A planned gift to HPSEF will allow you to leave your legacy while still supporting yourself and your family.  Gifts in the form of endowments, trust, and annuities are great ways support HPSEF and to serve your charitable goals.  Contact us today to find out which option is best for you.

  • Bequests

    Bequests create your lasting legacy without affecting your current financial situation. All it takes is a simple designation in your will or trust and it costs nothing during your lifetime. You can name Havre Public Schools Education Foundation in your will for a specific amount, a percentage, or a residuary share of your estate and your gift will be exempt from federal estate taxes. 

  • Employee Matching

    Add even more value to your gift! Check with your Human Resources Department representative to see if your company provides a matching gift program. Your contribution can have twice the impact if your employer will match your gift at no cost to you.  We will gladly submit any requested documentation.

  • IRA Rollovers

    With a charitable IRA rollover, you can avoid taxes on up to $100,000 and satisfy your required minimum distribution after you reach the age of 70 1/2.  Contact us and your IRA administrator to have your donation transferred directly from their organization to ours.
